# ***Privacy Policy***

Last updated: 11 October 2026

## Who we are

John Pilkington Personal Trainer ("we", "us") is responsible for the personal information we collect about you as our client and through this website. The law calls this being the "controller".

- Email: [**johnpilkington.pt@googlemail.com**](mailto:johnpilkington.pt@googlemail.com)

## The platform we use

We run our website, our client area and our coaching through **Boost Fitness**. You can also use the **Boost Fitness iPhone app**.

Boost plays two roles:

- **For our coaching,** Boost holds our records for us and uses them only on our instructions. The law calls this a "processor".
- **For your own Boost account and diary,** Boost is responsible itself, once you've agreed to Boost keeping your diary. That is what you log yourself, like food, weigh-ins and your own workouts. Boost's privacy policy explains it.

## What we see

**What we give you, and what you do with it:**

- our programmes and workouts, and your logs of them;
- our habits and your ticks;
- our check-ins and forms, and your answers;
- the supplements, goals and meal plans we set, and meal plans you send us;
- our chat with you;
- your bookings, courses and payments with us;
- your profile, any medical or emergency details you give us, and when you last opened the app or our client area.

**From 11 October 2026, what you log yourself, only if you choose to share it with us:** food, body (including your intake answers), progress photos, metrics, Apple Health, workouts, habits and goals. We use it to coach you.

- You choose when you join us. You can change it at any time in the app (Account → My coaches → What John Pilkington Personal Trainer sees) or in our client area.
- If you turn something off, we stop seeing it at once.
- We see it only while you're an active client.
- A weigh-in or photo you add inside one of our check-ins counts as yours. We see it if you share body or photos with us. Your answers to the check-in are ours.
- If you were our client before 11 October 2026, we keep seeing what we saw before until you choose, or until you join another coach on Boost, or withdraw your health-data consent. If you withdraw it, what you logged yourself, including entries from before 11 October 2026, is deleted; our plans, check-ins and chat with you stay. Some clients are asked instead, for example if you have more than one coach on Boost or joined us on or after 11 October 2026.

Until 11 October 2026, we see what you log in our client area, and it is part of our records.

**What we never see:** anything another coach gives you, or what you do with it. If you train with other coaches, we aren't told who they are.

## Health information

Much of this is health information, which data protection law protects more strictly. We use it only with your explicit consent. We ask for it when you join us in Boost or confirm what we see, and for each thing you choose to share with us. You can withdraw it at any time by changing what we see, by leaving us, or by telling us.

## How we use your information

- to coach you: plan your training and nutrition, check your progress and adjust your plan;
- to keep you safe, for example from the answers to our health questions;
- to talk to you, and answer your messages;
- to take payments and manage bookings and courses;
- to send you service emails about your coaching;
- to run our business and keep records the law requires;
- to understand how our website is used.

Some Boost features use AI to help us. Boost can write us a weekly to-do list about our clients. The AI that writes it gets only counts and percentages, such as how many check-ins were missed. It never gets your name, your contact details, your messages, your food, your weights or anything from Apple Health. If we import our client list into Boost from a spreadsheet, a document, a photo or pasted text, an AI model reads it to set up your record. Boost sends it through Vercel's AI gateway to AI models from OpenAI or Google, run by OpenAI, Microsoft Azure, Amazon Bedrock, Google's Gemini API or Google Cloud Vertex AI. Under their terms, none of them uses it to train AI models. Vercel deletes it as soon as each request is finished. The company running the model may keep it for up to 24 hours to answer repeat requests faster, and to check for abuse for up to 30 days (OpenAI) or 55 days (Google's Gemini API), or longer where the law requires. Anything its safety systems flag may be kept for review under its own policy.

## Legal bases

- **Contract:** to provide the coaching, courses and bookings you signed up for.
- **Explicit consent:** for health information.
- **Consent:** for marketing cookies.
- **Legitimate interests:** to run our business and keep this website secure.
- **Legal obligation:** to keep payment and tax records.

## Who we share it with

We don't sell your personal information. We share it only with:

- **our team:** the people we let into our Boost account, such as other trainers;
- **Boost Fitness:** the platform we use, and the providers Boost uses (listed in Boost's privacy policy);
- **Stripe:** for payments. You type your card details into Stripe's checkout; we never store them. Some payments through our pay links are taken on Boost's Stripe account and passed on to us;
- anyone the law requires us to.

## International transfers

Boost keeps our data in London, UK. Some of the providers it uses are in the USA, the EU or elsewhere. Where data protection law requires safeguards for these transfers, they are in place: an adequacy decision, the EU–US Data Privacy Framework (and its UK Extension), or contract terms the regulators approve (the EU's standard contractual clauses, or the UK's International Data Transfer Agreement or Addendum). Boost's privacy policy lists the providers.

Email [**johnpilkington.pt@googlemail.com**](mailto:johnpilkington.pt@googlemail.com) for a copy of the safeguards.

## How long we keep it

We keep our coaching records while you're our client. If you leave us in Boost, most are deleted at once (see "If you leave us"). If we end your coaching, we keep them for as long as we need them for our legal and insurance duties, then delete them. We keep payment records for as long as tax law requires (six years in the UK).

If you delete your Boost account, Boost deletes everything in it within 30 days, including our records of your coaching, apart from payment records. Boost tells us when you do.

## If you leave us

You can leave us in the Boost app or in our client area.

- We stop seeing what you log yourself at once. It stays in your Boost account if you've agreed to Boost keeping your diary; otherwise it's deleted with our records.
- Boost deletes our coaching records about you: our programmes, workouts and habits with your logs of them, your check-in and form answers, and our notes, reviews and files. We may keep our own copies outside Boost where we need them, for example for insurance (see "How long we keep it").
- Our chat with you closes, and neither of us can open it again. Boost deletes it 30 days later.
- If you have paid courses with us, you choose: leave now, which ends your access at once and stops subscriptions renewing, or wait until your access ends. Leaving doesn't refund what you've already paid; ask us if you think you're owed a refund.

## Your rights

You have the right to:

- get a copy of your information;
- correct it;
- ask us to delete it;
- limit or object to how we use it;
- take it with you in a common format;
- withdraw consent at any time.

Email [**johnpilkington.pt@googlemail.com**](mailto:johnpilkington.pt@googlemail.com). We'll answer within one month.

We don't make decisions about you that have legal or similarly significant effects based only on automated processing.

We need your name and email to set up your client account. Everything else, including answers to our health questions and check-ins, is up to you, though we may not be able to coach you safely without it.

You can also complain to the data protection regulator where you live or where we're based. In the UK, that's the Information Commissioner's Office (ico.org.uk).

## Cookies

See our cookie policy for the cookies this website uses. The Boost Fitness app uses no analytics or advertising tools and doesn't track you. Exercise videos from YouTube play in YouTube's privacy-enhanced mode, as Boost's privacy policy explains.

## Children

Our client area and the Boost Fitness app are for people aged 16 and over.
